Position Overview:

We are seeking an experienced and detail-oriented Contract Administrator to join our team. In this role, you will play a crucial role in ensuring the successful execution of our architectural projects by overseeing contract administration and construction administration processes. The ideal candidate will have a strong background in contract management and construction administration within the architectural field.

Key Responsibilities:

  • Construction Phase Management: During construction phase, deliver or coordinate the delivery of all construction phase services Gravity has included in its scope, primarily including:

    • Field Reviews: Conduct site visits to monitor construction progress, quality, and compliance with design specifications and Codes, and prepare and circulate field reports,

    • Submittals: Coordinate the consultant review of submittals including shop drawings, samples and mockups.

    • Change Management: Handle change orders and modifications, including assessing their impact on project scope, budget, and schedule. Prepare Supplemental Instructions, Contemplated Change Notices, Change Orders and Change Directives as required,

    • Documentation: Maintain detailed project records, including correspondence, reports, and project documentation.

    • Issue Resolution: Address and resolve construction-related issues, conflicts, and discrepancies that may arise during the project.

    • Communication: Responding to Requests for Information (RFIs) and maintain regular communication with clients, contractors, and project stakeholders to keep them informed of project progress. Liaise between planners, AHJs, consultants, and the Gravity team required, and

    • Quality Assurance: Ensure that the constructed work meets the quality standards and design intent set by the architectural team. Prepare Deficiency Reviews and issue Take-Over Certification as required.

  • Contract Management: Administer construction contracts, ensuring all parties adhere to contractual obligations and project timelines, when included in our scope,

  • Firm Management: Collaborate with Gravity’s Principals and Project Managers to support the health of the firm, including undertaking the following responsibilities:

    • Support the Principals in the preparation of contracts and Additional Service agreements as required,

    • Maintaining project, permit and task statuses in our project management database and spreadsheets as required to accurately display permit statuses;

    • Striving for project profitability during the construction stage of each project; and

    • Preparing and presenting weekly and monthly reports on construction phase progress to the Principals;

Skills, Experience and Qualifications:

  • Bachelor's degree in Architecture, Construction Management, or a related field.

  • Five years of experience in contract administration and construction administration within the architectural industry.

  • Knowledge of Canadian construction Codes and regulations.

  • Strong communication and negotiation skills.

  • Detail-oriented and organized, with excellent record-keeping abilities.

  • Proficiency in project management software and Microsoft Office Suite.

  • Ability to work independently and collaboratively within a team.
